Evidence workflows
Approve a policy version
Approve the reviewed version of a policy and retain a version-specific decision that auditors can inspect.
Review and approve
- Open the policy in Documents.
- Check the exact version, responsibilities, effective wording and review date.
- Resolve placeholders and comments before approval.
- Use Approve only when the version is ready to govern the organization.
Approval applies to the reviewed version. Editing the document creates a new version that needs its own review; an earlier approval does not approve later wording.
What approval does not do
Approval does not collect employee acknowledgement or prove the policy was followed. Retain operating evidence separately.
Next step
Request acknowledgements. Use policy drafts when the wording needs to change.
